ClanCare is a family care coordination service for individuals and families. This notice explains how we handle personal information through the ClanCare mobile app, our website, support communications, and related services. It is written for our U.S. market and also addresses rights that may apply under European privacy law.
1. Information we collect
| Category | Examples | Why we need it |
|---|---|---|
| Account and contact information | Name, email address, profile details, account credentials and support messages. | To create and secure an account, provide support, and communicate about the service. |
| Family coordination information | Care recipient name, relationship, invited family members, care journal entries, tasks, appointments, medication schedules and confirmations. | To provide shared family care coordination requested by the account holder. |
| Consumer health information | Health conditions, medications, symptoms, appointments, prescriptions and documents that a user chooses to add. | To provide the features that the user asks us to provide. See the separate Consumer Health Data Privacy Policy. |
| Subscription information | Plan entitlement, subscription status and transaction identifiers supplied through Apple App Store, Google Play and RevenueCat. | To provide the selected subscription. We do not receive or store full payment-card numbers from in-app purchases. |
| Device, reliability and security information | Device type, operating system, app version, crash diagnostics, IP-related security logs and similar technical data. | To secure, troubleshoot, maintain and improve the service. |
| Website preference and campaign information | Cookie choices and, only after the applicable opt-in, website analytics or marketing events. | To remember privacy choices, analyze the website, and measure advertising as described in our Cookie & Tracking Policy. |
2. Care recipient information and your confirmation
Before adding another person’s health or care information, you must have legal authority or the person’s explicit permission to do so. By creating or editing a care recipient profile, you confirm that you have that authority or permission and that you will use ClanCare only for lawful family care coordination. We require a separate in-app confirmation for this purpose before a care recipient profile is created or materially updated.
Users who are invited to a family group can see information shared with that group according to their access level. The account holder is responsible for inviting only people who should have access and for removing access when it is no longer appropriate.
3. How we use information
We use personal information to operate the service, coordinate the family group, maintain security, provide support, manage subscriptions, comply with law, and improve reliability. We use website analytics only when you choose the relevant analytics category, and marketing measurement only when you choose marketing cookies. We do not use consumer health information for behavioral advertising.
Where European privacy law applies, we process ordinary account data as necessary to perform our contract with the user, to comply with legal obligations, or for legitimate interests such as security and service improvement where appropriate. For health information, we rely on an applicable additional condition under law, including explicit consent where that is the appropriate basis. You may withdraw consent where consent is the basis, although this can affect features that require that information.
4. Service providers and disclosures
We disclose information only as needed to run ClanCare, to the family members you or an authorized group member chooses to invite, or when required by law. Our service providers may process information on our instructions, including:
| Provider category | Current provider | Service |
|---|---|---|
| Cloud infrastructure, authentication, database and storage | Firebase / Google Cloud | Core service infrastructure and account/data functionality. |
| Subscription management | RevenueCat | Subscription entitlement and customer-center functionality. |
| App reliability | Firebase Crashlytics | Crash diagnostics and stability monitoring. |
| Transactional email | Resend | Service-related email communications. |
| App stores | Apple App Store and Google Play | In-app purchase processing and subscription platform services. |
| Website measurement, only after consent | Meta Pixel and Microsoft Clarity | Campaign measurement and selected website analytics. These tools are not used to receive app health data. |
We do not sell consumer health data. We do not permit advertising tools to receive care recipient names, diagnoses, medications, appointments, documents, or identifiers associated with health information.
5. International processing
ClanCare is operated by a business owner established in Italy and uses service providers that may process information in the United States or other countries. Where required by applicable law, we use appropriate safeguards for international transfers and take account of the provider arrangements relevant to the service. You can contact us for current information about the categories of providers involved in your account.
6. Retention and deletion
We delete account and family data from active systems immediately after a confirmed account deletion, subject to technical processing time. Information a user actively keeps in the in-app Archive remains there while the account is active and is removed when the user deletes it or when the account deletion applies to that archived content. Limited residual copies may exist temporarily in security or disaster-recovery systems only for the duration technically necessary to protect and restore the service; they are not available for ordinary use.
We keep subscription, legal, fraud-prevention, and security records only for as long as needed for the stated purpose or as required by law. We retain cookie-consent records only as needed to demonstrate and honor the selected preference.
7. Security
We use reasonable administrative, technical and organizational safeguards designed to protect information. This includes access controls and encryption in transit and at rest where supported by our service providers and configuration. No internet or storage system can be guaranteed completely secure; please use a strong password and notify us promptly of suspected unauthorized access.
8. Your privacy choices and rights
You can manage website cookies at any time through Cookie settings. You can request access, correction, deletion, restriction, portability, or information about our processing by emailing info@clancareapp.com. We may need to verify your identity before acting on a request.
Residents of certain U.S. states may have additional rights over consumer health data; see our Consumer Health Data Privacy Policy. Where the CCPA/CPRA applies to ClanCare, California residents may have rights to know, delete, correct, limit certain uses of sensitive personal information, and opt out of sale or sharing. Where European privacy law applies, you may also complain to the supervisory authority responsible for your place of residence or our establishment.
9. Children
ClanCare is not directed to children. We do not knowingly collect personal information from children under 13. If you believe a child has provided information without appropriate authorization, contact us and we will review the request promptly.
10. Changes and contact
We may update this notice when our practices or legal requirements change. We will post the updated version and revise the effective date. For questions, rights requests, or a privacy concern, contact info@clancareapp.com or write to Angelo Cutrona, Via della Valle 34, 46040 Solferino (MN), Italy.
